The Buildings & Grounds Maintenance & Support area is responsible for the day-to-day operations of 17 departments and supervisors with 211 full-time employees and 48 summer employees in trade related areas of the Facilities Division of the School Service Center. Building & Grounds Maintenance & Support perform both Capital and Maintenance projects in 140 buildings district wide.
The office is comprised of two supervisors and three full-time clerks. The supervisors’ responsibilities encompass budget management, work order management, disciplinary issues, field supervision, purchasing, incident/emergency response, clerical supervision, labor efficiency, personnel needs, quality control, operational procedures and processes, and liaison with building principals and the Design & Construction department.
The clerks in this area are responsible for the daily entering of all employee time cards, processing all payroll information, entering all maintenance purchase requests, procurement card purchases and job accident report information. The clerks also maintain employee information and personnel records.
Some of the duties this office performs every day are:
- Enter approximately 260 timecards on a daily basis
- 105 procurement card invoices/journal entry forms processed on a daily and monthly basis
- Payroll for Building & Grounds Maintenance & Support and the Facilities Division
- Supervisor-On-Call Management (24/7 emergency responders)
- Provide support and coverage for the Facilities Division
- Emergency response to work requests which require employees to be dispatched immediately
- 29,825 maintenance work orders were generated in the 04/05 budget year
- Manage fleet and equipment
- Track expenditures for a multi-million dollar budget
- Personnel/disciplinary issues
- Petty cash disbursement
- General bookkeeping with yearly audit
- Nutrition Services Social Fund management
- Snow removal coordination which requires activation of 50-100 employees and equipment to clear sidewalks and parking lots within four hours of last snow fall (per city code)—usually requires employee activation through the night, weekends, and holidays
